Aani Academy On-Site Visit Policy

  1. Introduction Aani Academy offers live onsite classes for selected students as part of its blended learning model. As part of these live onsite classes, students may take part in outdoor learning & play, rewards, trips, assemblies, or other educational and enrichment activities. These experiences are designed to enhance the classroom environment by providing opportunities for interactive learning, physical wellbeing, connection with nature, and the development of both spiritual and academic growth.
  1. Purpose of On-Site Visits On-site visits may include, but are not limited to:
  • Live onsite classes 
  • Reward-based gatherings for outstanding student achievements.
  • Monthly or annual assemblies to foster student engagement and motivation.
  • Educational field trips that complement the online curriculum.
  • Community service initiatives to instill Islamic values and responsibility.
  • Special events such as guest lectures, interactive workshops, or madrassah open days.
  1. Parent/Guardian Consent

  • Any parent/guardian who signs up their child to Aani Academy is considered to have given consent for participation in all standard onsite activities, including:

    • On-site visits

    • Outdoor play

    • Outdoor learning

    • Rewards trips

    • Assemblies

    • Other educational and enrichment activities

  • For specific on-site visits that fall outside the regular timetable:

    • All students must have written parental/guardian consent before attending.

    • A consent form will be provided outlining the date, time, location, and purpose of the visit.

    • Parents/guardians must return the signed consent form either as:

      • A physical copy

      • An electronic form

      • Submission via Aani LMS

    • The consent form must be returned by the specified deadline to confirm participation.

    • No student will be permitted to take part without confirmed parental/guardian approval.

  1. Supervision & Safeguarding Measures
  • All on-site visits will be supervised by qualified Aani Academy staff to ensure student safety.
  • A designated safeguarding officer will be present at all events to address any concerns.
  • Teachers will maintain an updated list of all attending students for attendance tracking.
  • Emergency contact details of parents/guardians must be provided prior to the visit.
  • Students must adhere to the Code of Conduct and follow all instructions given by staff.
  1. Transportation & Logistics
  • Aani Academy does not provide transportation for on-site visits unless stated otherwise.
  • Parents/guardians are responsible for ensuring students arrive on time and are collected promptly after the event.
  • If a student is unable to attend after confirmation, parents must inform Aani Academy in advance.
  1. Behaviour & Expectations
  • Students must represent Aani Academy respectfully and adhere to Islamic etiquettes at all times.
  • Any misconduct during an on-site visit may result in exclusion from future visits and events.

Dress code and guidelines specific to the event will be communicated beforehand.

  1. Medical & Special Requirements
  • Parents must disclose any medical conditions, allergies, or special requirements in advance.
  • If a student requires medication during the visit, arrangements must be made with the staff in charge.
  1. Cancellation & Changes
  • Aani Academy reserves the right to cancel or reschedule on-site visits due to unforeseen circumstances (e.g., weather conditions, venue availability, or safety concerns).
  • Parents/guardians will be notified of any changes as soon as possible.
